One of the first requests for Samueleeds was to streamline the management of subscription-based products.

Whenever the admin team manually creates an order for a new client, they require a hassle-free means of starting subscriptions with no repeated and time-consuming manual steps for set-up processes.

Since most offers include periodic services or access to periodic content, it's essential to have an automated system that converts manual orders into live subscriptions when payment has been confirmed.

The specific task was developing a feature to support automated subscriptions when an admin enters a subscription manually. This functionality would be useful for onboarding clients, working on special requests, or doing bulk orders.

Project Requirements and Challenges in Subscription Management

For this project, Virtina aimed to produce a safer and automated solution meeting the following conditions:

The system had to identify whether an order included a subscription product. As Samueleeds products range from one-time purchases to bundled products and recurring subscriptions, the script had to accurately distinguish between them.
This was a requirement that the script had to subscribe only when the order status was given as "completed." This would refrain from early activation of subscriptions by waiting for all such requirements as payment acceptance to be met before the subscription begins.
The solution had to work without affecting an admin's workflow. Admins must be able to create and complete orders manually, and the system must automatically create subscriptions.

Virtina’s Custom Automation Solution

Virtina responded to all these requirements by developing a custom script that creates subscriptions programmatically right out of the admin-created orders.

Here's how this works in practice:

The custom code only activates when the system finds a subscription-based product within the manually created order. This will ensure that unwanted one-time or non-subscription orders will not trigger the script to run, thereby maintaining the system's total efficiency.
The code only operates if the order status has been modified to "completed." That is how a subscription would be created in sync with a transaction completed effectively, steering the organization in a way that leads to accuracy and customer satisfaction. This allows the admin personnel to do their own thing without requiring additional steps to activate the subscriptions.
Once this order is marked complete, custom code steps in to handle backend work. It automatically creates a subscription to the relevant product without requiring any additional input from the admin. This saves time and ensures all its subscriptions are set up consistently and reliably.
